Move a payment to the right invoice or customer

A payment was applied to the wrong invoice or the wrong customer. Change the customer on an unapplied payment, and get help moving an applied one.

You can change the customer on a payment that isn't applied to an invoice yet. Once a payment is applied, you can't move it or take it off the invoice in the app. Email help@streamlinedpayments.com and the Streamlined team will move it for you.

Change the customer on an unapplied payment

A payment with no invoice shows + Add next to Invoice.

  1. Go to Transactions and open the payment.

  2. Next to Customer, click Change customer (✎).

  3. Search for the right customer and click Confirm.

  4. Apply it to the right invoices with + Add. See match a payment to an invoice.

Note: Changing the customer on a check also sends future checks from that payer to the new customer.

Move a payment that's on the wrong invoice

The app can't move an applied payment to another invoice, or unapply it so you can start over. That goes for checks you applied by hand and for payments Streamlined applied automatically. Email help@streamlinedpayments.com with:

  • the customer's name;

  • the payment amount, date, and method (check, ACH, wire, or card), and the check number for a check;

  • the invoice it's on now;

  • the invoice or invoices it should be on, with the amount for each.

If several payments need to be undone and reapplied, list each one. The Streamlined team will move them and let you know when it's done.

Move an applied payment to another customer

Email the Streamlined team the same details, plus the customer it should belong to.

Why a payment lands on the wrong invoice

Streamlined applies a bank transfer or check automatically when an open invoice matches its amount. For a customer in a group, that can be another member's invoice. And an invoice for the same amount isn't always the one your customer meant.

Tip: If this happens often for a customer, turn off Auto-reconciliation on their Billing tab. Their payments then wait for you to apply them.
