Take a deposit before you issue an invoice

Send a deposit request link, then put the money on the invoice when you issue it.

A deposit request is a payment link for an amount you choose, paid before any invoice exists. When you issue the invoice later, you put the deposit on it.

Send a deposit request

  1. Go to Deposits and click Collect deposit, or open a draft's More actions (⋯) and click Collect deposit.

  2. Choose the Customer, and add a Quote (optional) file to help fill in the request.

  3. Enter the Amount and Currency, and pick when the link Expires.

  4. Add a Description (optional) and a Reference (optional), such as a PO number, then click Create request.

  5. Copy the link under Share this link with your customer and send it.

Your customer pays by card or bank debit, whichever you've turned on in Settings > Checkout > Deposits.

Track a request

Deposits lists every request with its status:

  • Open: waiting for payment.

  • Processing: a bank debit is clearing, usually in 2 to 4 business days. The link can't be paid again meanwhile.

  • Paid: the money arrived.

  • Expired: the link passed its expiry date and can't be paid.

  • Canceled: you cancelled it.

  • Refunded: the payment was refunded.

If a bank debit is returned, the link goes back to Open so your customer can pay again. If its date has passed, it goes to Expired.

To stop a link, open it and click Cancel request. After a link expires, click Create a new request to try again.

Put the deposit on an invoice

A paid deposit waits as an unapplied payment until you put it on an invoice. A bank debit deposit can't be applied until it reads Paid.

  1. Issue the invoice as usual.

  2. Open the deposit request from Deposits.

  3. Next to Invoice, click + Add.

  4. In Reconcile, pick the invoice, or several invoices to spread the deposit across, and confirm.

A deposit bigger than the invoice leaves credit. A smaller one leaves the invoice partly paid. QuickBooks Online and Shopify see the deposit once it's on an invoice.

Attach a payment made another way

If your customer paid by wire, ACH, or check instead:

  1. Open the request and click Attach payment.

  2. Pick their payment from the same customer and currency.

This works on open or expired requests. Remove payment undoes a wrong pick.

For anything else, email help@streamlinedpayments.com with the customer's name, the deposit amount, and the date it was paid.
