Apply one payment to several invoices

Split a check, wire, or ACH payment across invoices in Reconcile.

Open the payment in Reconcile, add every invoice it covers, set the amount for each, and confirm. Streamlined keeps it as one payment and spreads it across the invoices.

Apply a payment to several invoices

The Auto-match tab is the fastest way to find the invoices. If a remittance file is attached, Auto-match from remittance reads it.

  1. Go to Transactions and click Match on the payment, or open the payment and click + Add next to Invoice.

  2. Paste the invoice numbers from the remittance on the Auto-match tab and click Auto-match, or select invoices on the Browse tab and click Add.

  3. Click Continue.

  4. Lower the Apply amount for any invoice your customer paid only part of, since each starts at its full balance.

  5. When Remaining is zero in the tally of Payment, Applied, and Remaining, click Confirm.

Note: If the amounts don't add up, you'll see "Payment amount does not match the sum of allocated amounts".

While it runs

The payment applies in the background. Its row on Transactions reads Matching... until it's done, and the page updates on its own. You can leave the page and keep working.

When it's done:

  • Each invoice's balance drops by its amount.

  • Invoices paid in full close.

  • The payment syncs to QuickBooks, if you use it.

Note: Don't apply the same payment again while it says Matching....

Apply it across a customer group

If the customer is in a customer group, you can apply one payment to any member's invoices. Browse lists every member's open invoices.

When there's money left over

If the payment is more than the invoices it covers, the extra stays with the customer as available credit. Use it later with Apply credit to invoice. See customer credits.

When something looks wrong

Don't apply it again if a payment still says Matching... after a long while, or if some invoices updated and others didn't. Email help@streamlinedpayments.com with the payment amount and date, the customer's name, and the invoice numbers you applied it to.
