Voiding cancels whatever is still owed on an invoice. The balance drops to zero and the invoice shows VOIDED. If your customer's billing address has an email, they get an email saying it was voided.
Note: Voiding is permanent. A voided invoice can't be reopened, by you or by the Streamlined team, so check the invoice number before you confirm. If you void the wrong one, duplicate it and issue the copy, as shown below.
Void an invoice
Open the invoice.
Open More actions (⋯) and click Void invoice.
If you like, add a note under Include a memo (optional). It goes in the email to your customer.
Click Void invoice to confirm.
What voiding changes
Only the remaining balance is cancelled. Payments your customer already made stay, and the email tells them the amount written off.
A credit note is recorded for the amount cancelled, so you can see it in the invoice's history.
Milestones are removed, so no more milestone requests go out.
Shopify orders are cancelled in Shopify. The items are restocked, Shopify doesn't notify your customer, and nothing is refunded.
QuickBooks Online voids the invoice too, if it's there.
When you can't void an invoice
Void invoice shows only while the invoice has a balance owed. You can't void:
A paid invoice. To give money back, issue a refund. To lower what's owed without moving money, record a credit note.
An invoice that shows PROCESSING. A payment covering it hasn't cleared yet. If it fails, you can void the invoice then.
Replace a voided invoice
Open the voided invoice, open More actions (⋯), and click Duplicate. Fix the new draft and issue it. It gets a new invoice number. Duplicate isn't offered for Shopify orders or milestone invoices, so create a new invoice for those.
Orders cancelled in Shopify
When you cancel an issued order in Shopify, Streamlined voids its invoice for you, unless Do not update invoices after they are issued is on in your Shopify settings. See Shopify cancellations and refunds.
