Auto-reconciliation is Streamlined's automatic payment matching. With it on, a customer's bank transfers and checks go on their open invoices as soon as they arrive. It's on by default. Turn it off and those payments wait for you to match them.
What it covers
With it on:
ACH credits and checks are applied only when exactly one open invoice is for that amount.
Bank transfers and wires to the details on your invoices are applied to an open invoice for that amount, even when several match. Streamlined picks the paying customer's own invoices before the rest of their group, and then the first match.
It never covers card or bank debit payments. Those are made from an invoice, so they always land on the invoices your customer picked.
With it off, these payments are recorded for the customer with no invoice. They wait on the Transactions page, and Match still suggests invoices for each one. Nothing is applied until you confirm. See match a payment to an invoice.
Turn it on or off for a customer
Go to Customers and open the customer.
Open the Billing tab.
Under Auto-reconciliation, switch Apply incoming payments to open invoices automatically on or off.
Turn it on or off for a group
Open the group, go to its Billing tab, and use the same switch. It changes the setting for every customer in the group, so Streamlined asks you to confirm.
Note: The group's switch shows as on only when every customer in the group has it on.
When to turn it off
Members of a group get invoices for the same amounts. A payment from one member can be applied to another member's invoice when the amount matches.
A customer has many invoices for the same amount. A bank transfer goes on the first one, which isn't always the one your customer meant to pay.
Customers pay invoices in parts. A bank transfer for an invoice's original total can still go on it after part is paid. That leaves it overpaid.
Your team checks remittances before applying anything.
If a payment already landed on the wrong invoice, see move a payment.
