Every invoice gets its number when its draft is created. Where that number comes from depends on where the invoice started.
Where each number comes from
Invoices you create in Streamlined, including duplicates and file imports, use your format from Settings > Invoicing.
Shopify orders keep the Shopify order number, such as #1001.
HubSpot quotes keep the HubSpot quote number. If you change the quote number in HubSpot, the invoice follows until you issue it.
Invoices created through the API use the number your system sends.
Recurring invoices use the first invoice's number with -1, -2, -3, and so on. See recurring invoices.
Set your format
Go to Settings > Invoicing.
Under Personalization, find Invoice numbering and click Customize invoice numbering (✎).
Set the parts you want, and check the preview at the top for how the next number will look.
Click Save.
Note: If Shopify is connected, Invoice numbering doesn't appear. Invoices you create in Streamlined keep the format already saved. If you never set one, they use the standard one: your initials, the year, and a counter.
The parts of a number
Prefix: optional text at the start, such as INV- or B2B. Click the suggestion based on your business name to use it.
Format: Counter only, Year + Counter, Year + Month + Counter, or Year + Quarter + Counter, each with a sample.
Custom: click Add token to add Year, Month, Day, Quarter, or Counter. Choose how each one looks, such as a 2-digit or 4-digit year. Every format needs a Counter, so each number is unique.
Separator: a dash, slash, underscore, period, or None.
Reset counter: for a format with a date, Yearly starts over every January 1, Monthly on the 1st of each month, or Never.
Numbers can be up to 64 characters. The editor warns you if a format could run longer.
When a new format applies
A draft gets its number when you create it, not when you issue it. So a draft made in December keeps December's date, even if you issue it in January.
A new format applies to drafts you create after saving. Existing drafts and invoices keep their numbers.
A deleted draft's number isn't reused, so you may see a gap.
If a number doesn't look the way you expect, email help@streamlinedpayments.com with the invoice number and your format.
