Match a payment to an invoice

Apply a bank transfer or check that arrived without an invoice, using Reconcile.

Open the payment from the unmatched payments on the Transactions page, click Match, pick the invoices it pays, and confirm. Nothing is applied until you confirm, not even a Perfect match found.

Why some payments wait for you

Card and bank debit payments are tied to the invoices your customer chose. Bank transfers and checks arrive on their own. Streamlined applies one automatically when an open invoice is for that amount. See turn automatic payment matching on or off.

These payments wait for you:

  • Ones that cover several invoices or part of one.

  • Ones with no clear match.

  • Every payment from a customer with Auto-reconciliation turned off.

They're in a card at the top of Transactions: "payments couldn't be matched to an open invoice". The dashboard and the customer's page also flag payments not linked to an invoice, with Fix now.

Match a payment

  1. Go to Transactions and click Match on the payment in the unmatched card.

  2. If you see Perfect match found, check the invoices and click Confirm & apply, or click Edit manually to change them.

  3. Otherwise, paste the invoice or PO numbers on the Auto-match tab and click Auto-match, or select invoices on the Browse tab and click Add.

  4. Click Continue and check the Apply amount for each invoice.

  5. When Remaining is zero, click Confirm.

While Streamlined applies it, the payment's row reads Matching.... You can leave the page. The invoices update when it's done.

Tip: If a remittance file is attached, Auto-match from remittance reads it for you.

You can also open any payment with no invoice on Transactions and click + Add next to Invoice. If the invoice isn't listed, see find a missing invoice. To split one payment across many invoices, see apply one payment to several invoices.

Dismiss a payment that isn't for an invoice

Dismiss a payment that isn't a customer payment, was a duplicate, or is already recorded elsewhere.

  1. Click Dismiss.

  2. Choose a reason and click Dismiss.

It leaves the review list but stays in your transactions, unapplied. You can still apply it later with + Add.

Note: You can't put a dismissed payment back in the review list yourself. Email help@streamlinedpayments.com if you need that.
