Let Streamlined apply payments to invoices

How Streamlined matches incoming payments and remittances to your invoices, so you don't do it by hand.

Streamlined applies most payments to their invoices on its own, and suggests the invoices for the rest. You aren't matching bank lines to invoices by hand.

Payments made from an invoice

When your customer pays by card or bank debit, or QuickPay charges them, the payment is tied to the invoices they picked. Nothing to match.

Bank transfers and checks

Each customer pays to their own bank details, so Streamlined knows who sent a bank transfer. When one of their open invoices is for exactly that amount, the payment is applied to it automatically. If none is, the payment waits for you with suggested invoices.

Checks mailed to your lockbox work the same way when Streamlined can tell which customer sent them:

  • A check is applied only when exactly one of that customer's open invoices matches.

  • The check image is attached to the payment.

  • A check from a payer Streamlined can't identify isn't recorded right away. The Streamlined team works out who sent it first.

You can turn this off for a customer whose payments you'd rather check first. See turn automatic payment matching on or off.

Remittances do the matching for you

When a payment covers several invoices, or only part of one, it waits on the Transactions page with suggested invoices. Forward your customer's remittance email to your team's forwarding address. Streamlined reads the invoice numbers and fills them in. It works whether the payment or the remittance arrives first. See forward and view remittances.

Confirm in one step

Open the payment with Match, check the suggested invoices and amounts, and click Confirm. One payment can cover as many invoices as it pays. See match a payment to an invoice.

Your books stay in step

With QuickBooks Online connected, each payment posts to its invoice in your books, along with the Streamlined fee. See post payments and fees to QuickBooks.
