Set up automatic reminders

Email customers about open invoices before and after the due date, on a schedule you set.

Automatic reminders email your customers about open invoices on a schedule you set: some days before the due date, on the due date, and some days after. They stop once an invoice is paid.

Set your reminder schedule

  1. Go to Settings > Collections and open Automated reminders.

  2. If Active Reminders is empty, click Create reminders to start with a recommended set.

  3. To add a reminder, click Add reminder, enter the number of days, and choose Before due, On due day, or After due.

  4. Click Add.

  5. To remove a reminder, click Delete reminder (the trash icon) next to it and confirm.

Note: To change a reminder, delete it and add it again.

Which invoices get reminders

New invoices get every reminder on your schedule, including invoices you issued without emailing. Milestone invoices follow each milestone's due date.

A reminder you add also applies to open invoices, but only for dates still to come. Past reminders aren't sent late.

The wording depends on timing:

  • well ahead of the due date, a plain reminder;

  • close to it, a "due soon" email;

  • after it, a "past due" email.

Send a reminder by hand

On an invoice, click Send reminder, check the preview, and click Send reminder. To remind several customers at once, select invoices in the invoice list and click Send reminders.

Find out why a reminder didn't go out

Streamlined skips a reminder when:

  • the invoice is paid, or a pending payment already covers it;

  • the customer has a tag you excluded from reminders;

  • the customer is on QuickPay, which sends its own notices;

  • the customer's preferred billing address has no email, or on Enterprise there's no delivery email (see where customer emails go);

  • the invoice or another reminder was emailed to the customer very recently;

  • the reminder's date had already passed when the invoice was issued or the reminder was added.

Also check that Active Reminders isn't empty. If none of these apply, email help@streamlinedpayments.com with the customer's name, the invoice number, and the date you expected the reminder.
