Understand invoice statuses and overdue alerts

Know what each invoice badge and the past-due banner mean, and what to do next.

An invoice's badge tells you whether money is still owed, and how late it is. Streamlined sets it from the balance left and the due date.

What each badge means

  • Not yet due: a balance is owed and the due date hasn't passed.

  • Overdue: up to 30 days past the due date.

  • Overdue 30+: 31 to 60 days past due.

  • Overdue 60+: 61 to 90 days past due.

  • Overdue 91+: more than 90 days past due.

  • PROCESSING: a payment covering the balance is on its way, such as a bank payment that hasn't cleared yet. The invoice closes when it clears, or shows as owed again if it fails.

  • Closed: nothing is owed. The invoice is paid in full or credited down to zero.

  • CREDIT: more was paid or credited than the invoice was for. You can use the credit on another invoice for the same customer.

  • VOIDED: you voided the invoice and its remaining balance was cancelled.

Note: A partly paid invoice keeps its overdue badge until it's paid in full. The badge counts days, not how much is left.

An invoice with milestones also shows "Next payment due on" with the next date. Each milestone has its own badge in the Billing schedule.

The past-due banner

When a customer's overdue balance is a real collection risk, their profile and any new draft for them show a banner: "(Customer) has a balance of (amount) that is past due." The color gets stronger as the risk rises. Streamlined judges the risk from:

  • how late their invoices are, and whether any are more than 90 days late

  • how much of all the money you're owed is their overdue balance

  • how their overdue balance compares with your average invoice

The banner is a prompt, not a block. You can still issue the invoice.
