Charge late fees on overdue invoices

Add a fixed or percentage fee to overdue invoices automatically, once or on repeat.

Streamlined can add a late fee to overdue invoices automatically. The fee is a fixed amount or a percentage of what's still owed, charged once or on a repeating schedule. A recurring percentage fee works like interest, for example 1.5% every 30 days.

Turn on late fees

  1. Go to Settings > Collections, open Late fees, and turn on Enable automatic late fees.

  2. Under Fee type, choose One-time or Recurring, and for recurring fees set Repeat every (days).

  3. Enter the Fee amount, using the $ / % toggle for a fixed amount or a percentage of the balance owed.

  4. Set the Grace period (days after due date).

  5. Click Save changes.

To cap recurring fees, click Set limits before you save, and set Maximum times applied or Maximum total fees per invoice.

How fees are charged

Once a day, Streamlined adds the fee to each invoice that's past its due date by at least the grace period. The fee is a debit note, so the balance owed goes up. Your customer gets an email about the new balance. A tag excluded in Balance adjustment notifications stops that email, not the fee.

  • A percentage fee is figured on the balance owed at that moment.

  • If a cap is set, the last fee is cut down so the total stays under it.

  • Invoices that are paid or voided, or have a payment covering the balance on its way, are skipped.

  • Milestone invoices use the invoice's due date.

Invoice and reminder emails warn your customer about the fee in advance.

Change your settings

Changes apply to future fees only. Switching from Recurring to One-time stops new fees on invoices that already have one.

Exempt a customer

After you save your settings, click Manage exemptions under Exemptions, add customers or whole customer groups, and click Save. Exempt customers are never charged, and their emails don't mention late fees.

Remove a fee

To take a fee off, record a credit note for the fee amount on that invoice.

Turn late fees off

Turn off Enable automatic late fees and click Save changes. Fees already added stay on their invoices.

Note: Turning late fees off clears your exemption list, so add it again if you turn fees back on.

After a move to a plan without late fees, no new fees are charged and the warning stops.
