Connect QuickBooks Online

Link QuickBooks, see what syncs and when, and reconnect if the connection drops.

Connect from Settings > Integrations. From then on, Streamlined sends each invoice to QuickBooks when you issue it, along with its customer, payments, and credits.

Connect QuickBooks

  1. Go to Settings > Integrations and find the Intuit QuickBooks card.

  2. Click Connect account and sign in to the QuickBooks company you want to use.

  3. When the card shows Connected, open its menu and click Settings.

  4. Under Account mappings, click Edit accounts and choose where payments go and which items invoice lines use.

  5. Under Product and customer mappings, click View all and review the suggested product matches.

Tip: Do steps 4 and 5 before you issue your next invoice, so it arrives in QuickBooks the way you want.

What syncs

Streamlined sends issued invoices, their customers, payments, credit notes, Streamlined fees, and voids. Later edits to a customer in Streamlined aren't sent.

Only one thing comes back: a deletion. If you delete a synced invoice, payment, or credit memo in QuickBooks, Streamlined picks it up once a day. Edits and new records in QuickBooks don't come back. Before you delete anything, see what a deletion in QuickBooks does.

Send invoices from before you connected

There's no start-date setting. Invoices you issue after connecting go to QuickBooks automatically. For older ones, open Invoices, select them, and click Sync to QuickBooks. Or open one and click Export.

Note: If QuickBooks already has an invoice with the same number, Streamlined links to it instead of creating a duplicate, and doesn't change it. The invoice shows Sync disabled, and its payments, credit notes, and fees aren't sent to QuickBooks. Record those in QuickBooks yourself.

Reconnect QuickBooks

If invoices stop showing up in QuickBooks, check the card on Settings > Integrations for Disconnected. The QuickBooks settings page shows Connection as Not connected. Invoices that fail show "QuickBooks connection expired."

  1. Note your choices under Account mappings and Customer grouping, because unlinking clears them.

  2. Click ⋮ on the card and choose Unlink QuickBooks. Nothing is removed from QuickBooks.

  3. Click Connect account and sign in to the same QuickBooks company.

  4. Set your account mappings again.

  5. In Invoices, select invoices marked Not exported to QuickBooks and click Sync to QuickBooks.

For other failures, see fix an invoice that didn't sync.
