Streamlined links each customer and product to a QuickBooks customer and item. To review and change those links, open the QuickBooks Settings and click View all under Product and customer mappings.
How customers are matched
Streamlined links a customer the first time one of their invoices goes to QuickBooks. It looks for a QuickBooks customer with the same name: the company name, or the contact's name if there's no company. If it finds one, it uses it. If not, it creates one.
Customers in a customer group are created under the group's QuickBooks customer. You can also turn on Create sub-customers from company names, under Advanced > Customer grouping. A company name such as "ACME Inc: Summer" then becomes a sub-customer of ACME Inc.
Prevent duplicate customers
Duplicates happen when the names don't match exactly, such as "Acme Inc" and "Acme, Inc."
Open the Customers tab on the mappings screen.
Use the Name conflicts filter to find customers whose name QuickBooks already has.
For each customer, choose the matching QuickBooks customer.
Customers left blank are added to QuickBooks on their first sync. To fix duplicates already in QuickBooks, merge them there, then point the Streamlined customer at the one you kept.
Fix lines that show as "Services"
Each invoice line uses its product's QuickBooks item. A line with no product, or whose product has no item, uses your item for Products with no mapping under Account mappings. If that's a general item like "Services," every unmapped line shows as Services.
Open the Products tab and use Needs an item and Suggested to find products without an item.
Pick an item for each and click Confirm, or select products and click Create items to add them as new items.
If a match by name was wrong, click Undo name matches.
To update an invoice already in QuickBooks, open it and click Re-sync.
Lines with a $0 amount are left off the QuickBooks invoice.
Note: Streamlined matches new products to QuickBooks items by SKU, then by name, and only when there's one clear match. It never changes a link you set yourself.
If an invoice still fails, see fix an invoice that didn't sync.
