Change or delete a synced invoice in QuickBooks

See what Streamlined does when you delete, edit, or add an invoice, payment, or credit memo in QuickBooks.

Make your changes in Streamlined. Streamlined sends invoices to QuickBooks, and the only change it brings back is a deletion. If you delete an invoice, payment, or credit memo it sent, Streamlined picks that up once a day.

Delete a synced record in QuickBooks

  • A payment: Streamlined notes the deletion and never sends that payment to QuickBooks again. It stays on the invoice in Streamlined.

  • An invoice: in Streamlined it reads Not exported to QuickBooks. Clicking Export on the invoice, or including it in Sync to QuickBooks, creates it in QuickBooks again.

  • A credit memo: Streamlined notes the deletion. The credit note stays on the invoice in Streamlined.

Tip: To cancel an invoice in both places, void it in Streamlined, and QuickBooks voids it too. Voiding is permanent, so check the invoice number first.

Edit a synced invoice in QuickBooks

Edits you make in QuickBooks don't come back to Streamlined. To change what's owed, record a credit note or debit note in Streamlined. A credit note reaches QuickBooks as a credit memo applied to the invoice. A debit note adds a line to it.

Note: If Streamlined later can't update the invoice, it shows Changed in QuickBooks on the Sync issues page. Re-sync replaces the QuickBooks invoice with the version in Streamlined, so your QuickBooks edits are lost.

Add an invoice, payment, or customer in QuickBooks

Invoices, payments, and customers you create in QuickBooks are never brought into Streamlined. A payment you record against an invoice in QuickBooks leaves that invoice open in Streamlined.

Instead, record a payment you received outside Streamlined as an external payment in Streamlined. It lowers the balance and syncs to QuickBooks for you.
