Post payments and fees to QuickBooks

Choose where payments and Streamlined fees land in QuickBooks, and what to record there yourself.

Each payment posts to its invoice in QuickBooks, and the Streamlined fee posts as a line on the same invoice. You choose the accounts and items under Account mappings on the QuickBooks settings page.

Payments

A payment goes to QuickBooks once its invoice is there. Payments you record by hand go right away. Payments your customers make online, by bank transfer, or by check follow within a few hours.

Each payment is linked to its invoice and deposited to the account you pick for Payments. If you don't pick one, QuickBooks uses its default.

Note: If an invoice wasn't exported, its payments wait. Click Export on the invoice page, and its payments follow.

Streamlined fees

The payment posts net of the Streamlined fee. The fee is added to the QuickBooks invoice as a negative "Streamlined Payments Fee" line, so the invoice still closes in full.

That line uses the item you choose for Processing fee write-off. The fee lands in whichever account that item posts to. To record fees as an expense, pick an item that posts to the account your accountant prefers.

Credits, debit notes, and voids

  • Credit notes post as credit memos applied to the invoice.

  • Debit notes post as an extra line on the invoice. Balance adjustments use your Balance adjustments item.

  • Voiding an invoice in Streamlined voids it in QuickBooks.

Refunds and chargebacks

Refunds and chargebacks aren't posted as their own records. Record them in QuickBooks yourself.

Post payouts as deposits

Some businesses prefer each payout to post as one deposit, with fees, refunds, and chargebacks as separate lines. The Payout deposits, Processing fees, Refunds, and Chargebacks rows are for that setup. Nothing posts to them until it's on. Email help@streamlinedpayments.com to ask about turning it on.

Payments recorded in QuickBooks

A payment recorded in QuickBooks doesn't come back to Streamlined, so the invoice stays open here. Record the payment in Streamlined instead.
