Three settings decide this. The Billing Account sets who pays. The preferred billing address sets who gets the invoice. Email delivery sends each kind of email to a different person.
Billing Account sets who pays
The Billing Account is the member of a customer group that pays for everyone. This is centralized billing. Once you pick one:
Its bank transfer details become the payment instructions on the invoice, for every member's invoices and statements.
Checkout offers its saved card or bank account.
If it's on QuickPay, it's charged for overdue invoices.
It doesn't change who gets the invoice.
Preferred billing address sets who gets the invoice
Every customer has a preferred billing address, and a group can have one too. Its address is printed on new invoices. Its Primary email gets invoices, reminders, and statements, and its Additional emails are copied on invoices and reminders.
A group's address takes over every member's invoices and reminders, and gets the group statement. Each member's own statement still goes to the member. To change an address, see change where customer emails go.
Email delivery splits up the emails
On Enterprise, the Email delivery card on a customer's Profile tab holds their email delivery preferences. Use it to send separate emails for invoices and statements:
Invoice submission email: invoices and balance adjustments
Accounts payable email: reminders, receipts, and refund notices
Statements email: account statements
A blank field falls back to the preferred billing address's email. A group's settings win over a member's.
Settings for common setups
Head office gets and pays every invoice: put head office in a group with its locations. Make its address the group's preferred billing address, and pick it as the Billing Account.
Head office gets the invoices, each location pays: set the group's preferred billing address. Leave Billing Account empty.
Invoices to accounts payable, statements to the controller: on Enterprise, fill in Invoice submission email and Statements email.
For step-by-step instructions, see set up billing for a customer with many locations.
