Issue invoices from HubSpot quotes

Which HubSpot quotes become draft invoices, how they match customers, and how to issue them automatically.

Each HubSpot quote that matches your import rules arrives as a draft under Invoices > Draft. New and changed quotes come in within minutes.

Which quotes come in

On the HubSpot card in Settings > Integrations, click ⋮ and choose Settings. Under Import Rules:

  • Import approved quotes only (the default) brings in quotes that are approved, or don't need approval in HubSpot.

  • Import draft and approved quotes brings in draft quotes too.

Rejected quotes never come in.

What's on the draft

  • Line items: name, quantity, price, and SKU.

  • Discounts and tax from the line items.

  • Invoice number: the HubSpot quote number. See how invoices are numbered.

  • Currency: the quote's currency.

Which customer it goes to

Streamlined first looks for a customer linked to the quote's HubSpot company, then for one with the quote contact's email address. If there's no match, it adds a customer from the HubSpot contact, with the contact's details as the billing address.

Tip: To link a customer you already have before their first quote arrives, open the customer and click Export to HubSpot.

When the quote changes

  • Before you issue, changes to the quote, such as items, prices, title, or quote number, update the draft.

  • After you issue, the invoice no longer follows the quote. Edit it in Streamlined instead.

  • A rejected or deleted quote removes its draft. An issued invoice stays as it is.

Issue invoices automatically

  1. On the HubSpot card, click ⋮ and choose Settings.

  2. Under Auto-invoice, turn on Auto-issue and send invoices after importing from HubSpot.

  3. Choose All quotes, or Approved quotes only to issue each quote once it's approved in HubSpot.

  4. Click Save changes.

A quote with no line items, or only $0 items, waits as a draft until it has prices.

These stay drafts for you to issue yourself:

  • Drafts already approved when you turned on auto-invoice.

  • Quotes with a discount, fee, or tax on the whole quote, or a fixed-amount discount on a line. Streamlined can't match HubSpot's total for these yet, so you check the invoice before it's sent.

Note: Issuing an invoice emails it to your customer. Before turning on auto-invoice, check that your HubSpot contacts have the right email addresses.
