Fix a double payment from QuickPay and a check

Your customer was charged by QuickPay (quick pay) and also paid by check, so the invoice is paid twice. Keep one payment, and refund or credit the other.

If a QuickPay customer also mails a check, the invoice can end up paid twice. Often the customer didn't know they were enrolled and was charged automatically. Decide which payment to keep, then refund the other or keep it as credit.

Why it happens

QuickPay charges invoices once they're past due. A customer who saved a card at checkout, or forgot they're enrolled, may pay by check as usual. If the check arrives after the due date, QuickPay charges the invoice too.

Check the invoice

Open the invoice and look at its payments. If the QuickPay charge and the check are both on it, the invoice is overpaid and carries credit. Ask your customer what they'd like, then choose one of the options below.

Refund the QuickPay charge

  1. Open the QuickPay payment.

  2. Click Refund and enter the Refund amount.

  3. Click Issue refund.

Once the payment has cleared, the money goes back to the card or bank account that was charged. See refund a payment.

Keep the extra as credit

The overpayment stays as available credit on the customer's account. Use Apply credit to invoice on their next invoice. See apply a customer credit.

Return the check

If the check hasn't been recorded or deposited, you can send it back instead. If it came into your lockbox and was matched to the wrong invoice, move the payment.

Stop it happening again

If your customer prefers checks, stop future charges. On the customer's Billing tab, click Remove in the QuickPay section, then Yes.

You can also share how QuickPay works for payers, so customers know they're charged once an invoice is past due.

On Scale and Enterprise, you can make the checkout box opt-in. In Settings > Checkout, choose Unselected in the QuickPay section, then click Save changes.

For help with a double payment, email help@streamlinedpayments.com with the customer's name, the invoice number, the check number and amount, and the date of the QuickPay charge.
